This policy explains what personal information we handle, why, and the rights you have. It covers both our public website and the Kingsleigh Homes app used by our office, approved contractors and insurer partners. We are committed to protecting your privacy and complying with the UK GDPR and the Data Protection Act 2018.
1. Who we are
Kingsleigh Homes Limited is the data controller for the information described in this policy.
- Registered in England & Wales, company no. 12181241
- Registered address: 1B Fideoak Mill, Bishop's Hull, Taunton, Somerset, TA4 1AF
- Email: Info@kingsleighhomes.co.uk
- Phone: 07585 664549
For any privacy question or request, contact us using the details above and mark it for the attention of the Director.
2. The information we collect
a. Website enquiries
When you contact us through the website (for example the quote or question forms) we collect the details you provide: your name, phone number, email address, project location and description, and any files you choose to upload, such as architect's plans or photographs of your property. We only use these to respond to and manage your enquiry.
b. Kingsleigh Homes app — approved users
The Portal is a work tool for signed-in users (our office, approved contractors and insurer/loss-adjuster partners). It is not intended for the general public. When you use it we handle:
- Account & sign-in details — your name, email and the role assigned to your account, used to authenticate you and decide what you can see and do. Sign-in is handled by our hosting provider (Supabase) on our behalf.
- Job and project information — the repair, survey and project records you are working on, including notes, measurements, variations and documents.
- Location — site sign-in records a location fix as attendance evidence. If you enable an Apple Watch Guardian lone-working session, the Watch also updates location during that session, including in the background where permitted, for the site boundary, automatic sign-out and alert location. Guardian's location use is therefore not limited to the sign-in fix.
- Optional Watch Guardian — Guardian processes available heart-rate and motion signals on the Watch during a workout-backed lone-working session. Session and event records can pass through the paired phone to the office system. An escalation can include your identity, job, site address, location, heart rate, impact and stillness details. Health and motion information does not always stay on the Watch. An alert held offline has not yet been confirmed by the office system.
- Photos & LiDAR scans you capture — site progress photos and room scans you choose to take with the camera, attached to the relevant job. On supported iPhone/iPad Pro devices, a scan produces room measurements (wall, door, window and floor dimensions).
- Saved files — if you export a document or scan, you may choose to save it to your device's photo library. The app only adds files you have asked it to save.
- Notification token — if notifications are enabled, your device's push token is stored so we can send you job assignments, sign-off requests and site reminders. You can turn notifications off at any time in your device settings.
- Local network (iPad cockpit mirror only) — for office iPad users, the app may connect to Kingsleigh OS running on your own Mac over your local Wi-Fi. This stays on your local network and is not sent to us over the internet.
Every device permission is optional and requested only when the related feature is used. If you decline a permission, the rest of the app continues to work.
c. Technical data
Our website host (Netlify) and app back-end (Supabase) process standard technical information such as IP address, device/browser type and request logs to deliver the service securely and diagnose faults.
3. Why we use your information, and our lawful bases
- To respond to enquiries and provide quotes — on the basis of taking steps at your request and our legitimate interest in running our business.
- To deliver insurance repair, building and survey work, and to operate the Portal for our team and partners — performance of a contract and our legitimate interests.
- To record on-site attendance and capture site evidence (location at sign-in, photos, scans) — our legitimate interest and, where relevant, the legitimate interests of the insurer and policyholder in an accurate, auditable repair record; and to meet health, safety and insurance obligations.
- To send operational notifications — our legitimate interest in coordinating work; device permission acts as your consent for the notification and camera/location prompts.
- To keep our services secure and meet legal obligations — legitimate interests and legal obligation.
4. Device permissions (Kingsleigh Homes app)
The app asks only for what a feature needs, and explains why at the prompt:
- Location — for the attendance fix at site sign-in and, when enabled and permitted, location updates during a Watch Guardian session, including in the background.
- Watch health and motion — available heart-rate and motion signals support the optional Guardian lone-working session. You can end the session on the Watch and change permissions in device settings. Removing a permission can reduce or end monitoring; it does not confirm that any earlier alert was delivered.
- Camera — to photograph site progress and capture LiDAR room scans for surveys.
- Photo library (add only) — to save documents and scans you export.
- Notifications — to receive job assignments, sign-off requests and site reminders.
- Local network — only to reach Kingsleigh OS on your own Mac over your Wi-Fi.
5. Who we share it with
We do not sell your personal information, and we do not use it for cross-app advertising or tracking. We share it only where necessary:
- Insurers and loss adjusters — where a job forms part of an insurance claim, the relevant repair records, evidence and documentation are shared with the insurer or loss adjuster handling that claim.
- Service providers acting on our instructions — Supabase (secure app database and authentication), Netlify (website hosting and enquiry forms), and Apple (delivery of push notifications). These providers process data on our behalf under contract.
- Professional advisers and authorities — where required by law, or to establish, exercise or defend legal claims.
6. International transfers
Some of our providers may process data outside the UK. Where they do, we rely on appropriate safeguards (such as UK adequacy regulations or the International Data Transfer Agreement / Addendum) to keep your information protected to UK standards.
7. How long we keep it
We keep information only as long as needed for the purpose it was collected, and to meet legal, insurance and accounting requirements. Enquiry details are kept while we deal with your request and for a reasonable period afterwards; job and insurance-repair records are retained in line with the claim and our statutory obligations, then securely deleted or anonymised.
8. How we protect it
Access to the Portal is restricted by individual sign-in and role. Data is transmitted over encrypted (HTTPS/TLS) connections, and access to job records is limited to the people who need it.
The app stores information on your device to support signed-in and offline work. Signing out or closing an account is not a remote wipe of every device or file: drafts, queued work, exported files and downloaded or cached copies may remain. Device clean-up can be incomplete while offline or when work needs recovery. Previously issued time-limited file links are not recalled by account closure and may remain usable; cached or downloaded copies can outlast the link. Check that important work has been filed before removing local data, and contact the office if you need help with retained device work.
9. Your rights
Under UK data protection law you have the right to access your information, to have it corrected or erased, to restrict or object to its use, and to data portability, in each case subject to legal limits. To exercise any of these, contact us at Info@kingsleighhomes.co.uk. If you are not satisfied with our response, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
Close your account from the app
Signed-in non-office users can open Account → Delete account, confirm their password and type DELETE. This starts a self-service attempt to close that person's sign-in without waiting for office approval. The app warns about unsent work before clearing this account's local app data. Closure attempts are not queued offline.
Read the result: it distinguishes verified sign-in closure, closure with cleanup still incomplete, and an outcome that could not be confirmed. Keep the reference if one is shown. A lost reply proves neither closure nor failure. Follow the result's instructions; if the outcome is unclear or it directs you to the office, contact us using the details above. The server separately checks sign-in closure, profile cleanup, notification removal and owned field-device credential revocation. A receipt does not establish that every device or downloaded copy has been cleared.
Account closure is not confirmation that all associated personal data has been erased. Account identifiers, the operative code and linked job records remain at this step, and contributions may still contain personal details. Their deletion or justified retention requires a separate review; the closure receipt does not mark that review complete. Older office-managed requests can still show their recorded status; withdrawing a request does not restore access already revoked. If you cannot sign in, contact the office. Office administrator accounts are handled by the business owner.
10. Children
Our website and app are intended for adults — homeowners, business contacts and approved trade/insurer users. They are not directed to children, and we do not knowingly collect information from anyone under 17.
11. Cookies
The website uses only essential cookies and similar storage needed for the site and the Portal sign-in to function. We do not use advertising or cross-site tracking cookies.
12. Changes to this policy
We may update this policy from time to time. The current version is always available here, with the "last updated" date shown at the top.
